Laptops

Inventory

A. The school administration must have an up-to-date inventory of all laptops/notebooks in the school. The inventory must include details of the equipment’s manufacturer, its serial number and name, surname and ID number of the teacher responsible. The Department may need to consult this inventory occasionally.

Responsibility

A. Laptops are the direct responsibility of the school. Transferred or retiring teachers must leave the equipment at the school, including the laptop case, the power pack, the mouse, related cables and any installation disks and manuals. The equipment may then be handed over to the replacing teacher. The inventory must be updated accordingly.
B. If there are more laptops than required in the school these must be reported and duly returned to the ICT Learning Centre.

Checking of laptops on collection and distribution

A. The school administration must check that laptops are properly functioning when returned by teachers.
B. The school administration must check that laptops are properly functioning before these are handed over to new teachers.
C. In both cases this checking should be done in the presence of the teacher concerned. The checking can be delegated to the ICT Peripatetic Teacher.

Laptops and facilitators

A. Under no circumstances should laptops be loaned to facilitators. Sharing of the laptop during school hours may be arranged at the discretion of the teacher responsible.

Laptops and student teachers

A. Under no circumstances should laptops be loaned to student teachers. Sharing of the laptop during school hours may be arranged at the discretion of the teacher responsible.

Changing of Year Groups

A. Teachers who change class groups must have their laptops changed according to the new class group as well. For example, if last year Mr. Borg was in charge of a Year 4 class, but will take up a Year 6 class this year, his Year 4 laptop must be returned to the office and exchanged with a Year 6 laptop. A clear record of the exchange, including teacher name and equipment serial number, must be noted in the inventory. The teacher may wish to have some personal work saved on the old laptop transferred to the new one. If this is the case, peripatetic teachers will be able to help in the transfer.

Written-off laptops

A. Occasionally, MITTS may have to certify a laptop beyond economical repair. To have the laptop replaced, please adhere to the following procedure:
i. MITTS will certify in writing that the laptop is beyond economical repair. The covering letter will include the laptop manufacturer and serial number.
ii. The administration should apply in writing for the laptop to be written off, attaching a photocopy of the MITTS letter. The application must be addressed to the Permanent Secretary’s office.
iii. A copy of the letter and the MITTS report should be sent to Mr. F. Baldacchino (ICT Centre Stores Officer) so that the replacement procedure starts as soon as possible.
iv. The teacher concerned will eventually be informed by the ICT Centre as soon as a laptop is available.

Proper Use of Laptops

A. Teachers are expected to take their laptops to school all days of the week. For practical reasons, laptops may be taken home during weekends for lesson preparations. During the week, they can be left at school in a lockable, safe place.
B. Laptops should always be in place, connected to the monitors, during school hours, but should be put away in a safe, lockable place after school hours if left within the school premises.
C. There should strictly be no installation of software on laptops unless endorsed by the ICT Learning Centre. Installation of software which is non-educational and which is intended for personal, non-professional use is prohibited. Installation of unauthorised software may disrupt settings provided by MITTS or the ICT Learning Centre and may cause authorised software to run improperly.
D. Software installed for evaluation purposes may be installed with the consent of the head teacher.
E. Use of the laptop should be noted in the lesson plans.
